Secretariat Meeting Minutes

DIOCESE OF SOUTHEAST FLORIDA SECRETARIAT
MINUTES OF A MEETING HELD ON SEPTEMBER 13, 2009
AT THE DUNCAN CENTER

ATTENDING: Vasco Coombs, Rev. Cori Olson, Rev. Kenneth Sims, Rev. Bob Sullivan, Brenda McGintis, Steve Vinik, Bob Anderson, Valerie Belben, Dede Lewis, Ellen Newton

ABSENT: Fr. Orlando Addison, Barbara Mackenzie

Vasco Coombs called the meeting to order at 2:46 pm.  Rev. Kenneth Sims gave an invocation and the Cursillo prayer was prayed.   A quorum was established.

MINUTES of July 25, 2009 were reviewed and approved.  Motion made by Brenda McGintis, seconded by Rev. Kenneth Sims.

Vasco Coombs suggested a new procedure of approving the Minutes.  The Minutes are to be emailed to the Secretariat within two weeks of a meeting.  Members are to email approval or changes back to all ASAP.  The approved Minutes will be posted on the Cursillo website.

TREASURER’S REPORT dated July 1, 2009 – September 11, 2009:

Valerie Belben distributed the report with the actual balance as of September 11, 2009 as $29,149.28.   From that amount checks will be written as follows: $15,818.60 to the Duncan Center for EWC #102, $1,000.00 to the NEC pledge for 2009; $190.00 for the Fourth Day Books for candidates; and $36 to Steve Vinik for 100 weekend photos.  Additional weekend funds and Green Palanca will still be deposited.  No scholarship funds were used toward the Women’s weekend.  Brenda McGintis moved to accept the Treasurer’s Report and Rev. Bob Sullivan seconded the motion.  It was approved.

BISHOP’S REPRESENTATIVE:

Dede Lewis reported on the exporting of Cursillo to Jamaica. Co-sponsorship with the Bahamas: their new Bishop had written a letter to their Secretariat to indicate that he wants them to be a part of the exportation Cursillo Movement; they are to write to the NECC for approval.

2010 Secretariat members: Dede Lewis confirmed with those to continue.  The term is for 1-year beginning January 1st.  Rev. Cori Olson will be retiring as Diocesan Spiritual Director.   

EWC Weekend #104: Vasco Coombs would be contacting Fr. Addison to discuss the status of the Spanish Cursillo weekend.

PRE-CURSILLO REPORT:

The job description for Pre-Cursillo was discussed.  Chair, Bob Anderson to work with Brenda McGintis,  Fourth Day Chair and Andrea Thomas who is writing the Procedures Manual.  Issues of concern:  Tracking and calling of spouses of new Cursillistas who have made the weekend and who have submitted their applications.  Identifying people who could be called on a “stand-by” basis.

The issue of fairness when calling candidates was discussed.  Fourteen people from each Sector (south, central and north) will be called up until a decided date and then calling from other Sectors can take place.  It was decided that the issue would be further discussed with Barbara MacKenzie, Weekend Chair, and Andrea Thomas.  Calling from earliest application date to be adhered to except in the case of spouses of new Cursillistas.  This issue is to also be clarified.

CUSILLO WEBSITE:

Steve Vinik has made regular updates to the website, with detailed information on the Women’s weekend.  The website address is: www.sef-cursillo.org

PASTORAL PLAN:

Rev. Cori Olson is working on the Pastoral Plan being made more specific.  Approval is tabled until it is completed and can be reviewed before 2010.

FOURTH DAY:

Brenda McGintis passed out the flyer for the “Grand” Ultreya.  She suggested that the budget include a line item for Fourth Day events.  She had paid out $185 for rental of the picnic grounds and requested reimbursement for these funds.  Rev. Bob Sullivan made a motion to reimburse her and Vasco Coombs seconded the motion.  It was passed.

Vasco Coombs stated that there is money in the budget for the “Grand” Ultreya.  Rev. Cori Olson stated that we should be sure to ask for green Palanca at all events.

Vasco Coombs will send out an email regarding the upcoming Men’s Cursillo Weekend to the churches and parish representatives concerning applications for the weekend.

Rev. Cori Olson shared that St. Margaret’s, Miami has a new priest who is a Cursillista and wants to serve on teams.  He is Fr. Richard Aguilar and is bi-lingual.

NEW BUSINESS FROM THE FLOOR:

Bob Anderson inquired as to what our donation was to the NECC.  Dede Lewis stated that we pledge $1,000 a year in our 2009 budget. 

NEXT MEETING:

The next meeting will be held at St. Joseph’s Episcopal Church in Boynton Beach at 10:00AM., prior to the Grand Ultreya.

Rev. Bob Sullivan made a motion to adjourn and Rev. Kenneth Sims seconded the motion.  Rev. Bob Sullivan led us in a closing prayer. 

The meeting was adjourned at 3:57 p.m.
